Tracking Your Tanning Bed Shipment

Get all the information to track your tanning bed, including phone numbers and Pro number online.   It is faster than a phone call, and is available 24/7.  Tanning lamp shipments are sent UPS and you will be emailed a link to track those shipments.

Our tanning beds are shipped on a large truck (18 wheeler) as "Curb Side Service with Lift Gate", meaning they will drop the bed off at the curb of your house *IF* they can access it. Most other companies charge you $60 to $130 extra for this service.  If you live in an inaccessible area, call us before ordering. They do not come inside and assemble the bed for you. You need two persons to assist when it is delivered. Please inspect for damage and refuse if damaged, then call us. Due to extremely high fuel surcharges, these rates have gone up and are updated frequently.

Shipping Rates for Tanning Lotions, Small Parts and Accessories

For small items such as lotions, accessories and small parts, we charge a flat rate of $12 ($24 in AK and HI) online.  Shipping rates for over the phone orders are based on actual cost and are usually somewhat higher.

Shipping charges for these larger items depend on the shipping weight and distance from our factory.  Below is an image to help you determine your zone, and a chart of charges to estimate your shipping costs.  For tanning beds, you can estimate the shipping from the individual tanning bed page as well.

Most 24 lamp tanning beds weigh 300 to 325 pounds including pallet and packaging (Alpha Sun are higher).  Others range from 400 to 600 pounds or more. For tanning lamps, you can figure one pound per lamp (includes packaging).  Tanning beds vary and you can estimate the total cost from the actual bed page using the drop down menu.  Zones are based on UPS/Truckline estimations for average shipments.  Please note that the recent upsurge in fuel prices have caused our shipping costs to increase dramatically.  This is beyond our control and these prices are what we are actually charged for each state.  Shipping rates for bulk lamps are calculated using the latest actual cost when you call, which is updated weekly.

Shipping Rates for Tanning Lamps

Call for larger orders, which are typically sent truckline.  These prices include 100% insurance against breakage and defect.   All orders of 72 or less are shipped UPS, oversized, with double boxing for protection.  Larger orders sent either UPS or truckline, whichever method is least expensive.

Shipping - General Information

Shipping rates shown are actual cost to ship your product at the time of calculation, and are updated from time to time to compensate for the rapidly rising fuel costs to our carriers.  Some rates for higher weights may appear cheaper than lower weights, due to discounts for poundage.  Other variations on zones are due to averaging by state, or are because they may be shipped via a different carrier.  All items are sent fully insured and guaranteed to arrive in working order, or we will replace or refund your purchase price (at our option), assuming you have noted the damage with the carrier. 

Shipping - Handling Damages

You MUST inspect each shipment for damage before signing, or you waive your rights to make a damage claim with us and/or the carrier.  This includes opening tanning bed boxes if necessary.  For tanning lamps sent UPS, you should always accept a package even if damaged, then call us at 1-800-600-8118 and we will ship you replacement lamps immediately.  For tanning beds, you should always REFUSE the shipment if it is damaged, then call us for a replacement.  We can usually ship replacement lamps or beds within one business day, and will do so at no expense to you, if you have noted the damage with the carrier.  All shipments that are refused without explanation or authorization will be charged the full price of transportation.

Shipping Options (Overnight)

UVA SunSystems will determine the best method for shipping your products.  For lamps, this is usually UPS for orders of 72 or less.  If you need your products delivered by a specific method instead of our usual shipping (FedEx, DHL, etc.) then you will have to call with your shipper number. There will be a handling fee to cover packaging materials.  If you choose this method, you accept responsibility for damage as well.  Overnight shipments are discouraged as they have the highest incidence of damage, but they are available.

Shipping Returns (overview)

In the event a product is returned for any reason, customer is responsible for shipping and handling costs (both ways), plus a fee if any packaging, parts or documentation is missing.  There is a restocking fee for certain items that are returned, and some items can not be returned except for defect or damage in transit.  Customer is responsible for insuring that all lamps are the correct size, wattage and type for their tanning bed and will be responsible for all transportation and restocking fees if the wrong lamps are ordered and shipped.  Visit our Support Area for our policies on returns and damage.
